The purpose of this job is to perform reception/ general administration duties as required by the company in an efficient, confidential and quality-orientated manner.

Responsibilties

  • Responsible for handling enquiries via telephone and e-mail.
  • Responsible for transferring telephone enquiries between sites
  • Responsible for welcoming all visitors and contractors on site
  • Ensuring all visitors and contractors sign in, complete any safeguarding or health & safety documentation and are given appropriate assess cards and Safety Clothing (if applicable)
  • Ensure meetings/meeting rooms are booked when needed
  • Responsible for the setting up of assessment cards for all employees, visitors and contractors
  • Responsible for filing all relevant documentation.
  • Undertaking general administration duties as required by senior management
  • Ordering/monitoring of stationary and all other essential inventory that may be needed within all departments and also to ensure they are stored away appropriately
  • Ensuring the post is sorted daily and archiving all files and documentation as required.
  • Keeping the office/reception area/conference rooms and canteen areas clean and equipped with all relevant equipment/inventory.
  • Setting up procedures and systems that are effective for the business
  • Booking travel arrangements and accommodation for employees when required.
  • Be flexible to work in any area of the business as required.

Qualifications

  • Proficient in the use of MS Office applications
  • Excellent oral and written communication
  • Ability to multi-task and good organisational skill
  • 1-2 years in a similar administrative position
