The purpose of this job is to perform reception/ general administration duties as required by the company in an efficient, confidential and quality-orientated manner.
Responsibilties
- Responsible for handling enquiries via telephone and e-mail.
- Responsible for transferring telephone enquiries between sites
- Responsible for welcoming all visitors and contractors on site
- Ensuring all visitors and contractors sign in, complete any safeguarding or health & safety documentation and are given appropriate assess cards and Safety Clothing (if applicable)
- Ensure meetings/meeting rooms are booked when needed
- Responsible for the setting up of assessment cards for all employees, visitors and contractors
- Responsible for filing all relevant documentation.
- Undertaking general administration duties as required by senior management
- Ordering/monitoring of stationary and all other essential inventory that may be needed within all departments and also to ensure they are stored away appropriately
- Ensuring the post is sorted daily and archiving all files and documentation as required.
- Keeping the office/reception area/conference rooms and canteen areas clean and equipped with all relevant equipment/inventory.
- Setting up procedures and systems that are effective for the business
- Booking travel arrangements and accommodation for employees when required.
- Be flexible to work in any area of the business as required.
Qualifications
- Proficient in the use of MS Office applications
- Excellent oral and written communication
- Ability to multi-task and good organisational skill
- 1-2 years in a similar administrative position
