1. Assistant, Music Touring

APA is seeking an experienced Assistant to support two high-volume Music Agents in our Music Department as well as support the Agency’s top-tier music client roster.

The position requires a communicative and thoughtful individual who can take the initiative while learning on the job.

The candidate will need a strong work ethic and an understanding of how their supporting role can help to grow the Agency’s practice. Excellent written and verbal communication skills and an interest in Music are essential.

The ability to multi-task is crucial as the position requires managing calendars, call logs, invoicing for payments, and bookings, as well as tracking client schedules, potential opportunities, and the overall execution of deals.

Skills And Qualifications

The Assistant will support the Agents in a variety of administrative functions, including:

  • Handling phones, managing both Agents’ and clients’ calendars
  • Generating deal memos, itineraries, contracts, and reports
  • Invoicing and accounting
  • Keeping track of ticket counts, contracts, deposits, and finals
  • Dealing with high-profile buyers, promoters, and managers while understanding the importance of confidentiality and professionalism
  • Strong work ethic and attention to detail
  • Strong organizational skills and ability to prioritize work to meet deadlines

Education And Experience

  • 1-2 years of professional experience working in the entertainment industry
  • Experience with Opus or at an Agency/Management experience is a plus
  • General knowledge of contracts and copyright law is a plus
  • College degree from an accredited University or College
  • Proficient with Microsoft Word, Excel, and Outlook

2. Co-Head Contract Administrator, Music and Comedy Touring

They seek a Co-Head to lead the Contracts Department, specifically supporting Music and Comedy Touring. Duties

  • Oversee the Contracts Department and its employees.
  • Issue contracts and supporting documents to promoter companies and venues
  • Process incoming contracts and payments negotiated by APA for our Music and Comedy Touring Departments
  • Monitor clients’ deals to make sure all fees are collected and APA’s commissions are processed, including generating invoices and client settlements as necessary
  • Data entry for each contract into our booking system
  • Process incoming client checks/wires and prepare payments in coordination with the accounting
  • Interact with agents and their internal teams to ensure clear, correct communication regarding the status of contracts, deposits, settlements, and client payments/invoices
  • Provide clerical assistance to the department as needed

Skills And Qualifications

  • Proficiency in Microsoft Word/Excel/Outlook and Google Drive
  • Strong attention to detail, analytical, organizational, and problem-solving skills
  • Ability to work with accuracy in a fast-paced environment
  • Self-starter who can learn processing systems, assume responsibility and work independently
  • Excellent written and oral communication skills to work with promoters and vendors. Strong interpersonal people skills
  • Effectively prioritize tasks as needed to accommodate changing department/company needs daily
  • Capacity to handle confidential and sensitive information with discretion

Education And Experience

  • College degree from an accredited University or College
  • At least four (4) years of professional experience working in the entertainment industry preferred
  • Prior work experience at an agency or promoter company is required
  • Familiarity with Opus One touring software or similar booking agency software
