Full Job Description

This position is responsible for providing a wide range of administrative and general support services to facilitate engagement with stakeholders at the national public policy level and support the TVA Board nomination process. Incumbent helps establish and ensures conformance to the office’s administrative and clerical policies and procedures are performed independently. Duties are performed on a largely autonomous basis.

Principal Accountabilities

  • Ensures office administrative policies and procedures are followed and consistent with those established for the organization
  • Prioritizes the supervisupervisor’shrough screening visitors/phone calls, handling routine assignments for their concurrence, and scheduling meetings. Provides supporting material and information for all sessions.
  • Processes proprietary/confidential matters and maintains confidentiality.
  • Reviews incoming documents addressed to the supervisor and distributes them to staff for handling as appropriate. Tracks and reviews all responses prepared to various individuals and groups, internal and external, to TVA.
  • Makes travel arrangements and requests reimbursement of travel expenses.
  • Serves as a project manager on a routine and assignment basis for tcompletingvarious sensitive tasks as determined by the supervisor.
  • Serves as a liaison between the supervisor and their direct reports, the Board of Directors, TVA management, and outside contacts. Controls and prioritizes internal and external information flow in the organization using tact, discretion, and discriminating judgment.
  • Prepares and reviews responses in conformance with TVA’s office’s office’office’ses and procedures.
  • May provide direction and functional supervision to administrative assistants, secretaries, and support positions in the supervisupervisor’szation and other TVA offices as appropriate. Includes performance information on staff as necessary.
  • Serves in emergency operation centres as requested
  • Performs other duties as assigned

Minimum Requirments

  • Education – High School Degree or equivalent is required; post-high school education is desirable.
  • Experience – Should have approximately four or more years of experience as an Administrative Associate or equivalent.
  • Certification/License, etc. – Certified Professional Secretary certification is desirable.
  • Knowledge/Skills/Abilities – Must have a professional demeanour; be highly organized; and have a high level of tact, integrity, and flexibility. Ability to multi-task working in a team environment, yet work independently at times with minimal supervision. General knowledge of TVA’s oTVA’sl programs, policies, and procedures. Ability to perform non-routine assignments with minimum charge while using initiative and good judgment.
  • Excellent written and oral communication skills. Thorough knowledge of Microsoft Word, Microsoft Outlook, and applicable PC packages. Internet savvy; experience with databases, scheduling, project management, and web-based tools. Familiarity with TVA automated/online systems such as payroll, correspondence tracking, and travel. Must be willing to participate in overtime assignments as necessitated by work demands and schedules.
  • Candidate may be required to obtain and maintain a security clearance based on position/access requirements and essential job functions.
