IBI Group is seeking an Assistant Project Manager (Architecture) to assist in coordinating and managing projects with an engineering and architecture focus.
As part of IBI Group’s selection process, candidates may be requested to consent to background checks relevant to the role under consideration before receiving a job offer.
These could include work references, education and credential confirmation, employment verification, identity check, credit report, criminal offence and driver’s license record.
The candidates must also confirm they are fully vaccinated per IBI Group’s mandatory vaccination policy in Canada.
They work alongside the Project Manager to ensure the delivery and functionality of the projects, an opportunity that will call upon your project management, communication and creative skills.
Their teams work from home during the COVID-19 pandemic and will be for the foreseeable future; they are following the provincial procedures before considering returning to the office.
Weekly, managers have touch base meetings with their teams to discuss the progress of projects or any issues they have encountered.

Tasks
- Assist Project Managers in the performance of their duties
- Ensure projects are coordinated and managed in compliance with client and corporate requirements
- Maintain project documentation and library (electronic and hard copy)
- Ensure document control and quality procedures are followed
- Ensure adherence of project team members to project plans (e.g., project management plans, schedule, communication plans)
- Update project managers on project budgets, burn rates and risk points
- Manage scope; alert team to missed or out-of-scope activities; assist in preparing cost estimates to support project change orders
- Track and report project progress
- Support project managers and other team members by facilitating project logistics such as meetings, conference rooms, conference calls, and so forth
- Take meeting minutes identifying action items and follow up on actions with responsible team members.
- As necessary, prepare project updates for the project manager and the client, including presentations, status reports, and risk and action registers.
- Prepare proposals, fee letters, and additional service requests.
Qualifications
- Bachelor’s or Master’s Degree from an accredited institution in Architecture
- Registered with or eligible to register with AIBC
- Five years of project coordination within a related field
- Experience working within teams in a similar capacity; providing support to multiple projects
- Experience in maintaining project documentation, particularly project management tracking tools
- Excellent written and verbal communication; able to communicate effectively and follow up with staff at all levels of an organization
- Outstanding professional and proposal writing skills
- Excellent time management and organizational skills
- Strong analytical and problem-solving skills
- Self-motivated and willing to learn
- Highly collaborative and a strong team player
- Experience with MS Suite (Word, Excel, PowerPoint) and MS Project, MS SharePoint (desirable)
- Proficient in Revit, AutoCAD, SketchUp, Photoshop, Indesign, and graphic software.
