We are seeking a highly skilled and professional Bilingual Executive Assistant to join our Product Supply Innovation Center based close to Frankfurt am Main. As an Executive Assistant, you will provide comprehensive support to our executive team, ensuring smooth operations and efficient workflow.
Fluency in both German and English, exceptional organizational abilities, and the ability to handle confidential information are essential for success in this role.

ROLE
- Administrative Support: Provide high-level administrative support to executives, managing calendars, scheduling meetings, coordinating travel arrangements, and preparing necessary documentation in both German and English.
- Communication: Serve as the primary point of contact for internal and external stakeholders, answering phone calls, emails, and inquiries in a professional and timely manner. Facilitate effective communication between executives and various departments.
- Documentation and Correspondence: Prepare and translate a wide range of documents, including reports, presentations, emails, and other correspondence, accurately translating between German and English.
- Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism, ensuring data security and maintaining confidentiality at all times.
- Meeting Support: Arrange and coordinate meetings, including organizing agendas, preparing materials, and taking detailed minutes in both German and English. Follow up on action items to ensure timely completion.
- Travel Management: Coordinate complex travel itineraries, including flights, accommodations, transportation, and visas, ensuring executives’ travel plans align with their schedules and preferences.
- Event Coordination: Assist in planning and organizing company events, conferences, and meetings, including logistics, venue selection, catering, and guest coordination.
- Relationship Management: Build and maintain positive relationships with internal and external stakeholders, including clients, partners, vendors, and team members.
Qualifications
- Proven experience as an executive assistant or in a similar administrative role, preferably within the FMCG industry.
- Excellent organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
- Fluent in German and English (both spoken and written)
- Strong attention to detail and accuracy, ensuring the quality of work delivered.
- Proficient computer skills, including MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Excellent communication and interpersonal skills, with the ability to interact confidently and professionally at all levels.
- High level of professionalism, discretion, and integrity, with the ability to handle sensitive and confidential information.
- Strong problem-solving skills and ability to think critically and independently.
- Flexibility and adaptability to changing priorities and work demands.
- Proactive and self-motivated approach, with a strong sense of ownership and accountability.
Education and Experience:
- Completed apprenticeship or bachelor’s degree in business administration, office management, or a related field is preferred.
- Proven experience in administrative roles, ideally experience in supporting C-level executives or senior management.
- Experience working in a similar / FMCG industry is advantageous.
